Track, assign, and close right inside Outlook.
SBX turns every team email into a clear, accountable task. No more guessing who's handling what or chasing lost messages.
Features that keep your team in sync
Know who's on it without asking.
- Claim ownership in one click so every email is accounted for
- See who handled what and when with full assignment history
- Stop duplicated work with status tracking built into Outlook
- Use Outlook as your ticketing hub without separate tools
Before: Three people open the info@ inbox at 9:00, two of them start replying to the same supplier email — until one notices the other halfway through.
After: The first person assigns the email to themselves. The other two see the assignment on the thread and move on to the next one.
See what matters. Hide what doesn't.
- Smart filters and options surface only relevant emails
- Never miss important updates with personal email notifications
- Mine view pulls together every open task across all mailboxes
- Keep your inbox clean: assigned/closed emails can be auto-archived
Before: You came back from vacation to a 200-email Outlook view that does not separate finance@ replies from CC-d announcements.
After: Mine view pulls together only what was assigned to you across every mailbox; the rest stays out of the way.
Make your inbox truly collaborative.
- @mention teammates and leave rich notes that clients will never see
- Link related threads to keep conversations connected
- No more forwarding as everyone sees the same shared thread
- Shared categories stay synced across the team
- See open work grouped by person with virtual folders
Before: A supplier query forwarded to a colleague, then forwarded back with a one-line answer no one can find next month.
After: A note left on the original thread, visible to anyone in the mailbox, stays attached to the email forever.
Spot problems early. Celebrate wins.
- See KPIs like response times, backlog, and team load
- Identify bottlenecks with heatmaps and trendlines
- Compare mailbox performance and uncover slowdowns
Before: Monday standup: someone says info@ feels slower this week, no one is sure.
After: Analytics shows response time for info@ ticked up on Thursday; the team finds out why before it becomes a pattern.
Skip the busywork. Stay in control.
- Auto-assign emails based on sender
- Auto-tag and auto-close routine emails based on rules you set
- Set rules once and SBX handles the rest
Before: Every Monday morning, someone manually drags 30 newsletter subscriptions out of finance@ into the Archive folder.
After: A rule auto-closes them on arrival; they stop cluttering the open queue, and the Monday-morning dragging stops.
What SBX deliberately doesn't do
Some choices are easier to spot than to explain. Here are four we make on purpose.
We don't store the content of your emails
SBX works on message metadata — sender, recipient, subject, timestamps, assignment state. The body of every email stays in your Outlook, not on our servers. More about how we handle your data →
We don't show ticket numbers to customers
Your customer emails finance@ and gets a reply from finance@. No "#TKT-4521" subject prefix, no case ID to track, no portal account to create. Coordination happens inside SBX; the customer-facing thread stays a normal email thread.
We don't push your customers to learn a new interface
There's no portal to sign in to, no "Your case has been assigned" autoreply, no separate help center to navigate. Your customer keeps using the email client they already use.
We don't require migration
Your finance@ stays in Outlook. Your shared mailbox stays in Outlook. SBX adds a layer on top — it doesn't move your inbox somewhere else.
What SBX integrates with
A short list, on purpose. SBX is built to be the best tool for teams who already live in Outlook — not to be a hub for everything else.
Microsoft 365 mailboxes
- Microsoft 365 Groups
- Outlook shared mailboxes
Outlook clients
- Outlook on the Web (Chrome extension)
- Outlook for Windows — AppSource add-in
- Outlook for Windows — COM add-in (legacy clients)
SBX does not integrate with Teams, SharePoint, Power Automate, Slack, or any non-Microsoft mail provider. If you need cross-platform workflows, SBX is probably not the right pick.
